Volunteer Roles
What are the volunteer commitments?
- We expect each family to fulfill 2 volunteer obligations - down from 3 in past years! This can be any combination of meet shifts or committee positions.
- Please note, we may require additional shifts based on the size of our team or league requirements involving the invitational.
What are the volunteer jobs?
- Each volunteer job needed to run a meet is listed in Swimtopia, along with a description of the job. No job is difficult!
- You are required to sign up for your volunteer / committee requirements when you register on Swimtopia.
- Please contact a board member if you have any questions!
What if I can no longer work my shift?
- If you can not work your shift for any reason, it is YOUR RESPONSIBILITY to switch with another swim team parent or to provide a suitable substitute for your position. We provide a list of all swim meet responsibilities at the beginning of the season. Please be sure to put these dates on your calendar. It takes a lot of parent volunteers to successfully run a swim meet. Please do not let your fellow swimmers down by not participating.
- In the past there have been past swim team members looking to make some extra money, who are willing to work shifts for those that might need it. We will try to list them and their contact information on Swimtopia.

Role Descriptions
- Announcer - The announcer broadcasts each event and which group is swimming. The announcer is responsible for keeping the meet moving in a steady fashion. Starts each race.
- Clerk of Course - Functions as the "gatekeeper" for all swimmers in our meets. The people who perform this function get the swimmers to the right lanes for the correct race. You can't run a race without swimmers and the clerk of the course makes sure the right swimmer gets to the right place at the right time.
- Concessions - Concessions are sold by the hosting team. Concessions volunteers arrive early to help set up and breaks down the snack bar and cleans up. Concessions workers ensure proper handling of food and collect the money and put it in the cash box.
- Floater - Provide support to other volunteer positions. Fill-in for any last minute cancellations.
- Meet Manager - A Meet Manager will be required for each home meet. This person will check in all volunteers, oversee the meet set up and tear down. In addition they will maintain the pool bathrooms. They are responsible for periodically offering all volunteers and coaches (from both teams) drinks and seeing that they have relief for bathroom breaks.
- Meet Tear Down - Return the pool to non-meet set up. Pick up and take out trash. Put away all systems including announcing system
- Parking Lot Coordinator - Put out the cones and be sure swimmers and visitors are parking in the appropriate areas.
- Ribbon Writers and Filer - Sticks appropriate time sticker onto the ribbon and fills out the time scored. Files ribbons in the boxes for pick up by the swimmers.
- Scorekeeper - Keeps track of swimmers place and score throughout the meet.
- Spotter for 6 & Under - Responsible for monitoring the 6 & Under events from the pool deck to ensure they get out of the pool safely.
- Timer - Responsible for recording a swimmer’s time. There is 1 timer per Windermere Lane for all home and away meets. An electronic timing device will provided to you.
